WebPT Billing Services
Complete medical billing run inside WebPT — claims, posting, denials and reporting — inside your existing system: you keep your software, your data and your workflows; we supply the billing team.
WebPT is the EHR and practice management platform built specifically for rehabilitation therapy — physical, occupational and speech therapy practices use it for documentation, scheduling and billing in one system. If your clinic runs on WebPT, Elite Bill Care provides full WebPT billing services inside the system you already own: your therapists keep documenting the way they do today, and our team runs the revenue cycle behind it — charges, claims, payments and follow-up — in your WebPT account, under your practice's name and payer enrollments.
What we do inside WebPT
- Eligibility and authorizations checked before treatment begins, with visit counts tracked against each plan's limits (see eligibility verification).
- Charge review and claim submission on a daily rhythm — finalized notes converted to claims with units and modifiers checked first (see coding support).
- ERA/EOB posting and reconciliation — payments matched back to claims, contractual adjustments verified line by line (see payment posting).
- Denials and AR worked in-platform — every denial categorized, corrected or appealed, and aging followed up payer by payer (see denial management).
- Reporting from WebPT's own data — collections, aging and denial trends reviewed with you on a set schedule (see reporting and analytics).
Platform-specific workflow
Therapy billing lives and dies on details that generic billing misses. Charges in WebPT typically flow from the finalized documentation, so our review starts there: timed-code units checked against the 8-minute rule, the KX modifier applied once the Medicare therapy threshold is met and documented, and plan-of-care certifications and recertifications watched so signed plans are on file before claims go out. Visit-based authorizations are counted inside the same system the front desk schedules in, which means a therapist's caseload and a payer's remaining visits are never two different numbers. When documentation and billing run on the same record, most therapy denials — units, modifiers, missing certifications — are preventable before submission rather than appealable after it.
The patient side gets the same discipline. Remaining balances after insurance are statemented from WebPT on a regular cycle rather than in occasional batches, secondary claims go out with the primary remittance attached, and per-therapist, per-location denial patterns are reviewed monthly — because in a therapy practice the same documentation habit repeated across forty visits a week is either a strength or a systematic leak, and the data in WebPT tells you which one it is.
No migration, no disruption
There is nothing to move and nothing new to learn: onboarding is named-user access, a review of your WebPT billing setup, and verification of your payer connections — then billing begins in the platform your clinic already knows. See the full operation on our medical billing services page, or browse the other platforms we work in on our software page.
Frequently asked questions
How does Elite Bill Care access our WebPT account?
You create named-user access for our team inside your own WebPT system, with permissions limited to the billing functions we need — scheduling, clinical notes and admin settings stay under your control. Access is individual and auditable, never a shared login, and it is covered by our Business Associate Agreement before any work begins. If our engagement ever ends, you simply deactivate the users and every record of our work remains in your system.
Can you clean up the AR we already have in WebPT?
Yes — reviewing and recovering aged accounts receivable inside your existing WebPT account is a standard starting point for therapy practices. We work the aging oldest-first, separate the claims that only need a corrected resubmission from the ones that need appeals or documentation, and report what is realistically collectible before we touch it. New claims run clean from day one while the backlog is worked down in parallel, so cleanup never interrupts current cash flow.
Our therapists' units and charges often disagree — can you catch that inside WebPT?
That mismatch is one of the most common therapy billing problems, and WebPT makes it fixable because the note and the charge live on the same record. We compare timed minutes documented against units billed under the 8-minute rule before claims are submitted, flag visits where documentation does not support the charge, and send those back for correction the same day. Over time the pattern data shows exactly which therapists or locations need documentation coaching, and unit-related denials fall accordingly.
