Waystar Billing Services
Complete medical billing run through Waystar — claims, remits and denials moving through the clearinghouse your practice already uses: you keep your EHR and your workflows; we supply the billing team.
Waystar is one of the largest healthcare payments and revenue cycle platforms in the United States — a clearinghouse and payments network formed from the combination of Navicure and ZirMed, connecting providers to thousands of payers. Many practices reach Waystar through their EHR or practice management system without ever logging into it directly. If your claims already move through Waystar, Elite Bill Care runs your billing through that same connection: you keep your EHR and your workflows; we supply the billing team that works claims, remits and denials inside Waystar every day.
What we do with Waystar
- Eligibility verification run through Waystar's payer connections before visits, so coverage and benefit problems surface at scheduling (see eligibility verification).
- Claim submission and front-end rejection management — claims edited and clean on submission, and clearinghouse-level rejections corrected and resubmitted fast (see clearinghouse rejection management).
- ERA posting and reconciliation — electronic remits delivered through Waystar posted promptly and matched to deposits (see payment posting).
- Denials and AR follow-up — denials categorized, appealed and worked to resolution instead of aging in a queue (see denial management and appeals).
- Reporting — collections, aging and denial trends reported on a regular rhythm (see reporting and analytics).
Platform-specific workflow
A clearinghouse is only as good as the queue discipline behind it. Claims typically pass through Waystar's edits before payer adjudication and remits return through the same pipe — but rejected claims and payer responses wait in work queues that are not visible from inside most EHRs. Our team works those queues directly in Waystar every day: rejections corrected at the clearinghouse level, remits matched to deposits, and denial patterns traced back to the edit, enrollment or data problem that caused them. Because eligibility, claim status and remits all move through the same connection, a problem in any one of them is usually diagnosable from the others — a denied claim can be traced from submission edit to payer response without chasing three different organizations.
For practices that also use Waystar's patient payment tools, we keep provider-side posting reconciled with what patients have actually paid, so patient balances in your system of record stay trustworthy. And when a practice's payer mix changes — a new contract, or a plan moving its transactions — we update the Waystar routing so claims follow the payer's current path from the first day.
No migration, no disruption
There is no clearinghouse switch and no EHR change: we work through your existing Waystar submitter connection, with named-user access under our Business Associate Agreement, and billing continues on the path your claims already travel. See the full operation on our medical billing services page, or the other platforms on our software page.
Frequently asked questions
Do we need to change our clearinghouse or EHR to use you through Waystar?
No. If your claims already move through Waystar, we work through that existing connection — your EHR, your practice management system and your payer enrollments stay exactly as they are. You provide named-user access to your Waystar account under our Business Associate Agreement, and our team runs the billing work inside it. Nothing about how your claims travel, or which systems your staff use, changes at all.
We have a rejection backlog sitting in Waystar — can you clean it up?
Yes. Clearing a clearinghouse backlog is a standard starting point: we work the rejection queues in Waystar, correct and resubmit what is fixable, and trace repeat rejections to their root cause — a submitter setup issue, a payer enrollment gap, or a data pattern coming out of your EHR — so the same rejections stop recurring.
Our EHR sends claims through Waystar, but nobody here logs into Waystar itself. Is that a problem?
No — that is a common arrangement, and it is exactly the gap we fill. Your EHR shows you the claims it sent; Waystar holds the payer responses, rejections and remits. We take named-user access to your Waystar account and work those queues daily, so nothing payer-side sits unseen. Your team keeps full visibility into the account and everything we do in it the whole time.
